“Before using Ganarpro, our email inbox was flooded with over 100 new Invitation to Bid (ITB) requests daily from general contractors. We often missed valuable opportunities because manually entering each ITB into our Salesforce system was both time-consuming and expensive. Plus, we knew that the pre-construction bidding phase carried a high probability of the bidding general contractor not winning the project, making the effort even riskier.

To manage this, we had a part-time overseas assistant—paid under $8 per hour—spending 30 hours per week extracting ITBs from our inbox and entering them into Salesforce. Now, with Ganarpro, she still plays a crucial role, but instead of manually entering data into Salesforce, she adds the jobs directly to Ganarpro and shares them on the marketplace. The best part? The marketplace covers her salary.

Once a deal is uploaded, it seamlessly integrates into my Ganarpro Kanban board pipeline, making it easier for us to track and bid on jobs. The process is now far more efficient, cost-effective, and scalable—it just makes sense.”

Business challenges

Founded in 2011, Construction Clean Partners began when its founder purchased a dataset of construction companies and built a database. A few calls and emails later, combined with strategic networking and outbound outreach, the company developed a system to connect people with opportunities.

From the start, we understood that the volume of bids and access to information were critical to success. Staying organized and managing bid requests efficiently became a core priority. Over the years, we excelled at getting onto construction company bid lists by diligently completing prequalification applications and submitting competitive, responsible quotes.

As a result, we began receiving over 100 Invitation to Bid (ITB) requests per day. However, managing this influx quickly became overwhelming. We needed more personnel to handle the workload, but justifying the cost of additional labor was challenging without a clear return on investment. This realization set the stage for innovation and the development of new solutions to streamline the bidding process.

Why Construction Clean Partners chose Ganarpro

Construction Clean Partners (CCP) selected Ganarpro All Pro Cleaning over other applications because it was the most cost-effective solution while also reducing the need for Conga Composer, which the company previously used for proposal creation within Salesforce. However, we still needed a fast and automated way to generate and submit proposals efficiently. Ganarpro All Pro Cleaning emerged as the ideal solution, offering seamless proposal generation and automated email submission.

Beyond proposal management, Ganarpro Deal Marketplace was a game-changer for CCP. Previously, we relied on a single person manually scanning our email inbox for new Invitation to Bid (ITB) requests. Now, instead of waiting for ITBs to arrive, we simply use the Deal Marketplace, scan it every few days, and add new projects—giving us access to far more opportunities than before.

Results

The most immediate benefit of Ganarpro came from All Pro Cleaning, which streamlined the CCP estimating team’s workflow. The platform enabled CCP to quickly submit a high volume of construction cleaning proposals while reducing manual data entry in Excel, improving both efficiency and accuracy.

The larger, long-term advantage came from the Ganarpro Deal Marketplace, allowing CCP to monetize its ITBs. Instead of letting ITBs sit idle in email inboxes, CCP now stores them in Ganarpro, organizes them into a visual pipeline, and actively works them. This transformation not only improved ITB management but also created a new and consistent revenue stream—rewarding CCP for the effort it takes to acquire these bidding opportunities.

CCP’s pipeline is now stronger and more robust, with a higher volume of bids. While we still list some of our own ITBs on the marketplace, we also discover many additional bidding opportunities that we wouldn’t have had access to otherwise—significantly expanding our reach and potential for securing contracts.
